NorthgateArinso utilizes EMC’s Documentum as our preferred Document Management solution. This best of breed solution is fully equipped with workflow management that can be customized to as many levels of approval as desired. Any and all authoring and editing activity is fully audited and requires the designed approval process. All documents contain complete metadata to track all changes and edits. At any time all previous versions of a document are available for view or can be re-activated through proper workflow approval processes.

For instance for the management of employee documents we have established solutions that not only provide an answer to archiving requirements of paper documents but that also take on the management of paper and electronic document based business processes. To achieve this we provide integration with imaging technologies as well as with case tools and back-end ERP systems.

Our Document Archiving solution itself offers all the advantages that you would expect from such a solution including easy retrieval and distributed access to documents. This last feature is often considered a huge benefit in large organizations with many branch offices where the same documents need to be accessed from multiple locations, something that was in many cases previously simply not possible with paper documents.
Migration
When implementing a new Document Archiving solutions that involves the conversion of paper documents to scanned electronic documents, there is usually a migration phase to consider where the backlog of existing paper files needs to be digitized. Imaging Integration
The link between Imaging and Document Management/Archiving is very simple with our standard solutions. Our preferred scanning software from Ascent Capture can be delivered with an out of the box integration module that quiet easily releases documents from the imaging process into the Document Management system while at the same time passing along all the gathered meta-data during the imaging process.
ERP Integration
For good and useful Document Management/Archiving, integration with ERP back-end systems is usually recommended. This allows to exchange data in both direction, from within your ERP applications like a mySAP application you can then retrieve documents that are archived in the Document Management System while using data from an ERP system inside the Document Management System can also be very useful in order to add extra properties, also known as meta-data, on the documents using information that is coming from for instance SAP.
This enhances the user experience for users who wish to look-up documents in the Document Management interfaces since they can now query also on ERP data. ERP data is typically also used to automatically apply security settings on documents. Documentum can connect to any number of ERP systems. Especially for SAP there exists a broad range of connectors that can be used. Also in the area of Business Process Management (BPM) it often makes sense to integrate with the ERP system. Documentum has its own full featured workflow engine that can be extended to integrate with any number of applications thus making it possible to streamline your entire business process across applications.
Records Management
NorthgateArinso’s Document Management and Document Archiving Solutions cover the entire document lifecycle. When a document is at the end of its active life, this is when the Records Management solution kicks in by managing retention and disposal policies in an automated way allowing to:
